Welcome. PayTrack ("we", "us", or "our") is a fees and payment management app that helps organizations and individuals manage fees, payments, and enrollments. The app supports guest use for browsing some features, but users must create an account to enroll in courses or complete payments. This Privacy Policy explains what information we collect when you use our app, how we use and protect it, and the choices available to you.
Information we collect
To operate PayTrack and provide its services we collect the following types of information when you register or interact with the app:
- Identity & contact: your full name, email address, and phone number.
- Authentication data: email and password used to sign in; timestamps for sign-ins and security events.
- Payment & billing details: payment method information, transaction records, and bank account details when provided for payouts or refunds. We process payments using Razorpay and may store payment or bank details on our servers as necessary to complete transactions and manage refunds.
- Enrollment & fee data: courses you enroll in, fee records, invoices, and any information you submit during enrollment (for example, payer or student names when applicable).
- Exports & files: exports you generate (CSV/Excel) — exported files remain on your device unless you opt in to cloud backup.
- Technical data: device type, operating system version, app version, and crash reports (if you opt in to diagnostics).
How we use your information
We use collected information for the following purposes:
- To create and authenticate user accounts (email + password) and to maintain account security.
- To manage enrollments, process fees, issue invoices, and handle refunds.
- To process payments via Razorpay and to store any payment or bank details necessary to complete transactions and payouts.
- To communicate account notifications, payment receipts, enrollment confirmations, and support replies.
- To provide, improve, and troubleshoot the app (including optional diagnostics if enabled).
- To comply with legal obligations, accounting, and to prevent fraud and abuse.
Third-party service providers
We work with trusted third-party service providers who perform services on our behalf and may process personal data to support the app. These include:
- Razorpay — payment processing and transaction records.
- Email providers for transactional communications (receipts, account messages).
- Cloud hosting providers that store encrypted backups and app data (only if you enable cloud backup).
- Optional analytics or crash reporting tools (only if you opt in to diagnostics).
We require these providers to process data only on our instructions and to maintain appropriate security measures. We do not sell personal information to third parties.
Security
We implement reasonable administrative, technical, and physical safeguards to protect personal data. Examples include encrypted storage, access controls, and transport-layer security (HTTPS). Our payment processor (Razorpay) and cloud partners are contractually required to protect payment and account data. Where we store payment or bank details on our servers they are encrypted at rest and in transit. However, no method of transmission or storage is completely secure; if a data breach affecting personal data occurs, we will notify affected users and regulators as required by law.
Children’s privacy
PayTrack is intended for adult users and organizations. We do not knowingly collect personal information from children under 13. If you believe we have collected personal information about a child in error, contact us and we will take steps to remove it.
Your rights
Subject to applicable law, you may have the right to:
- Access the personal information we hold about you.
- Request correction of inaccurate or incomplete personal information.
- Request deletion of personal information (subject to legal retention requirements).

Cookies & tracking

We may update this Privacy Policy occasionally. When we do, we will update the "Effective date" at the top of this page. Significant changes will be communicated where feasible.

Data retention & account deletion
We retain account and payment records while an account is active to provide services. After an account becomes inactive, we retain personal data for up to 2 years from the date of last activity to allow for reactivation and legal obligations, unless a longer retention period is required by law. Note: financial records required for accounting or tax purposes may be retained up to 7 years when required by applicable law.
If you would like your account and associated personal data deleted sooner, you may request deletion. Deletion requests are processed promptly and typically completed within 7 working days. Please note that removal of certain payment transaction records may be subject to legal and accounting obligations and to the retention policies of payment processors such as Razorpay.
